Role summary -
Are you detail-oriented and adept at managing sensitive information? Our client is looking for an experienced Information & Capture Technician to join our Services team.
In this role, you will operate digital capture systems to accurately prepare, scan, validate, and release documents.
You will ensure that our corporate and centralised scanning solutions meet the highest standards required by external audit organisations, all while working in a secure and confidential environment.
Key Responsibilities:
- Digital Capture Operation: Efficiently operate and maintain digital capture systems to produce high-quality digital images of confidential documents, including HR files, Finance files, Legal Services Court Files, BMS forms, and large format plans & drawings.
- File Preparation: Accurately prepare files, ensuring they match file titles and specific information such as National Insurance numbers.
- Data Management: Scan, validate, verify, and release data from the Corporate Scanning Solution to internal and external customers.
- Database Validation: Validate large volumes of files and use the Oracle Database Connection lookup table for accurate data population.
- Data Entry: Input data accurately into the database (Egizmo) to produce summary sheets and unique bar code identifiers.
- Database Search: Conduct searches across various databases to confirm file requests from Social Workers, Police, and Solicitors.
- Quality Assurance: Produce analogue and digital information adhering to external audit standards.
- Client Liaison: Liaise with internal and external service clients to meet their document requests.
- File Management: Manage the secure transfer and archiving of digitally captured and sensitive data.
- Staff Development: Support staff development through motivational coaching and skill enhancement.
- Compliance: Adhere to data protection guidelines, ISO standards, and service standards.
Ensure equipment maintenance aligns with Health & Safety legislation. - Flexibility: Work flexibly across Solutions4Data and Mail & Despatch service areas as required.
- Waste Management: Assist in managing and disposing of confidential waste in line with security protocols.
- Additional Duties: Perform other tasks as required, within the general responsibility and grade of the post.
- Shift Pattern: Work according to a shift pattern and occasionally provide out-of-hours support.
- Issue Reporting: Highlight issues affecting service delivery and take appropriate actions to mitigate risks.
Key Accountabilities:
- Accuracy: Ensure approximately 2 million scans per annum are accurately captured and managed.
- Service Delivery: Deliver high-quality work and maintain service delivery standards, ensuring compliance with security, confidentiality, and audit procedures.
- Equipment Maintenance: Ensure all equipment is operational and report faults promptly.
- Legislative Compliance: Meet legislative requirements for safe data distribution and ensure compliance with Data Protection and Health & Safety legislation.
