Job Title: Materials and Contracts Administrator
Hours: 37 Hours Per Week
Work Pattern: 8:00am - 4:30pm / 8:30am - 5pm | Monday - Friday
Type: Temp Ongoing
Location: Bracknell RG12

As a Materials and Contracts Administrator, your primary responsibility will be to serve as a crucial liaison between our external contractors and suppliers.

This involves leading regular meetings, handling inquiries, feedback, and managing invoices.

Additionally, you will offer essential daily administrative assistance to the Commercial Services directorate.

This encompasses collaborating with trade teams, initiating job requests, generating purchase orders, and overseeing invoice processing.

Your role will play a pivotal part in ensuring that services maintain a high standard of quality and are conducted with a customer-centered commercial approach.

This entails delivering services that provide value for money and prioritise customer satisfaction.

Key responsibilities



  • Serve as a dedicated liaison for contractors and suppliers, building strong relationships.

  • Manage works orders, purchase orders, and invoice approvals for timely payments to suppliers and internal customers.

  • Ensure procurement compliance by monitoring spend and reporting irregularities.

  • Collaborate with contractors to resolve customer queries related to works orders.

  • Convert employee job requests into repair orders, verifying accuracy before release.

  • Proactively manage 'open' works orders, coordinating with contractors for invoicing.

  • Address customer inquiries, attend meetings, and provide contract-related information.

  • Monitor pending invoices, ensuring timely progression and resolving discrepancies.

  • Handle payments, invoices, and purchase orders smoothly, resolving issues.

  • Maintain detailed records of maintenance information, certificates, and timesheets.

  • Provide administrative support for Commercial Services, including repairs and maintenance.

  • Undertake additional duties aligned with the role's responsibilities



Desirable Criteria



  • Software Proficiency: Comfort using data entry/storage and work scheduling software systems (e.g., Open Housing).

  • Communication: Strong verbal/written skills, engaging effectively with residents, contractors, and colleagues.

  • Team Player: Demonstrated cohesive teamwork, idea sharing, and support for colleagues.

  • Microsoft Office: Proficiency in Outlook, Word, and Excel for efficient tasks.

  • Development Attitude: Positive outlook on personal growth and enhancement opportunities.

  • Regulatory Awareness: Familiarity with housing maintenance regulations and standards.

  • Problem-Solving: Innovative approach, skilled in negotiation and customer care.
