Job Title: Admin & Facilities Assistant
Hours: 22 Hours | 3 Days | Per Week
Work Pattern: Mon/ Wed 08:30 - 5:00pm | Tues 09:00 - 05:00pm
Salary: £17.99 P/H LTD Umbrella payment

We are seeking a dynamic and versatile Admin and Facilities Assistant to take charge of a range of essential duties, including Front of House reception, conducting Health and Safety floor walks, managing supply orders and checks for teas, coffees, and stationary, overseeing the Post/Mail room, providing Meeting Room assistance, ensuring general office housekeeping, and assisting with various administrative tasks.
Job Role -
- Front of House Reception: Be the welcoming face of our organisation, greeting visitors, clients, and employees with a warm and professional demeanour.
Handle incoming calls, direct inquiries to the appropriate departments, and maintain the reception area's cleanliness and organisation. - Health and Safety Floor Walks: Conduct routine inspections of the office space to ensure compliance with health and safety standards.
Identify potential hazards, address concerns, and report findings to the appropriate personnel. - Supply Ordering/Checking: Monitor and manage inventory levels of teas, coffees, stationary, and other office supplies.
Place orders with vendors, perform regular checks to replenish stock, and ensure supplies are readily available for employees. - Post/Mail Room Management: Oversee the sorting and distribution of incoming mail and packages.
Prepare outgoing mail, including packages and courier services, to ensure efficient mailroom operations. - Meeting Room Assistance: Assist in setting up and preparing meeting rooms for various company gatherings, client meetings, and events.
Ensure meeting spaces are equipped with necessary supplies and technology. - General Office Housekeeping: Maintain the cleanliness and organisation of common areas, including the kitchen, break rooms, and shared workspaces.
Collaborate with cleaning staff to ensure a tidy and presentable office environment. - General Admin Assistant: Provide administrative support to different departments, including handling paperwork, data entry, and assisting with various office tasks as required.
Candidate Requirements -
- Strong interpersonal skills and a professional attitude to interact positively with visitors and employees.
- Basic knowledge of office procedures and equipment, along with proficiency in using standard office software.
- Excellent communication skills, both verbal and written, to effectively convey information and coordinate tasks.
- Proactive and adaptable, with the ability to handle multiple responsibilities and prioritize tasks effectively.
