Job Title: Operations Administrator
Basis: Fixed Term - 10 Months (July 2024)
Hours: 37 Hours
Type: Full-time
Location: 2 Days in the Office (Lymington/Totton) | 3 Days Hybrid Working (After Training)
Work Pattern: Mon - Fri | 8am - 4pm

The Operations Administrator plays a crucial role in supporting the efficient functioning of the Operations team.

This position involves providing comprehensive administrative support to managers and supervisors to ensure the smooth operation of services.

The Operations Administrator will be the primary point of contact for service operation enquiries, primarily through email, and will be responsible for working with service systems and procedures, including billing, invoicing, and procurement.



Main Duties:



  • Provide administrative support to the Operations team, including managers and supervisors, to ensure service continuity and effectiveness.

  • Assist in maintaining schedules, coordinating meetings, and managing calendars for Operations personnel.

  • Prepare and distribute reports, memos, and other documents as needed.

  • Serve as the main point of contact for service operation enquiries, addressing questions and concerns promptly and professionally - predominately email based.

  • Monitor and manage the service email inbox, ensuring timely responses and appropriate follow-up actions.

  • Work with service systems and procedures related to billing, invoicing, and procurement, ensuring accuracy and compliance.

  • Collaborate with the Finance and Procurement departments to process invoices, purchase orders, and procurement requests.

  • Maintain organised records and documentation related to service operations.

  • Assist in data entry and record-keeping tasks to ensure accurate and up-to-date information.

  • Foster effective communication and collaboration within the Operations team and with other departments.

  • Assist in preparing materials and presentations for internal and external stakeholders.
