Administration Assistant

We are seeking an enthusiastic and highly motivated Administration Assistant to join our dynamic team.

Locations: Chelmsford CM1 with travel to Colchester CO4 for Adhoc cover
Contract Type: Ongoing
Work Pattern: Full Time

Main tasks and duties -
The Administration Assistant will carry out admin tasks such as

  • Provide high quality administrative services to effectively support and actively promote the function, e.g.

    Bookings & allocations, data completion, updating electronic records, photocopying, production and distribution of publications and documents, reports, statistics, agendas and minutes.

  • To collate data for Performance Indicators.

  • To assist the Service Manager and Team in carrying out their duties by dealing with routine correspondence, providing basic advice and assistance to callers and make appointments or take bookings when appropriate.

  • To process incoming and outgoing mail efficiently and in accordance with agreed procedure.

  • To ensure payments received are processed in accordance with agreed procedures.

  • To provide statistical information as required.

  • To take minutes at meetings whenever required and distributed accordingly.

  • To coordinate, update and manage a range of spreadsheets relating to the work of the Service Manager and Management team

  • To provide office cover in coordination with the Service Manager

  • To update and use appropriate systems for general information input and enquiries

  • To assist with processing all referrals to Keyworker Living in relation to Voids and allocations.

  • To assist with training and induction for new staff joining the team.

  • Ensure working procedures and policies regarding security and confidentiality of data across the agency are followed.

  • To ensure a full range of promotional information/literature is available through all media avenues

  • To build and develop strong and positive team relationships with accommodation, external stakeholders and colleagues.

  • Ensure document retention procedures are being followed.

Essential Criteria:

  • 12 months experience in an office environment including proven experience of competently dealing with enquires, managing filing systems, data input, collating and presenting data, telephone answering and written correspondence.

  • Good Microsoft Office skills, including excel and PowerPoint and the ability to quickly learn and use other service specific software and applications.

  • Very good verbal, written and interpersonal communication skills.

  • The ability to work with minimum supervision and to work as part of a team
