Location - Oxford/ Swindon
Rate - £11- £13.40 PAYE Per hour (Paid Weekly by an Umbrella Company)
To provide administrative and secretarial support, including:
, Provide administrative support when appropriate to all Provider Collaborative Managers to support a range of departmental initiatives
, Support the administrative functions of the Single Point of Access for CAMHS T4 and Adult ED HOPE Provider Collaborative
, To provide administrative support to the Associate Director and Clinical Director for the Provider Collaboratives
, Accurately type and distribute correspondence, minutes and other documents
, To act as the main point of contact for the Provider Collaborative, answering the telephone, taking and recording messages accurately and responding to queries appropriately
, Where appropriate arrange meetings, book rooms/catering/equipment and diary management for members of the department via Outlook Calendar
, Coordinate, update and collate information and present as reports, charts, tables, databases or other appropriate formats.
, Actively contribute to team meetings and discussions
, Minute taking for informal and formal meetings
, Deal with routine information, with tact and diplomacy at all times, escalating issues as appropriate
, Prepare presentation materials as required
, Undertake filing and correctly maintain and file in conjunction with Recruitment.
, Photocopying and general office duties as required by Provider Collaborative Team members
, Coding and forwarding invoices for payment
, Sort and prioritise all incoming mail and distribute as appropriate
, To manage own time and priorities in providing service to a range of Provider Collaborative team member.
, Ensure all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner.
, Support the Provider Collaborative team lead and provide an effective network for communication including dealing with visitors to the base and being flexible to cover other general duties
, Provide guidance and advice on relevant policies and procedures.
, Formatting and uploading policies on the intranet
, Monitoring and replenishing stocks of stationery as required and preparing a weekly staff e-mail for submitted materials
, Coordinate mailings
, To ensure Health and safety and Fire regulations are adhered to at all times.
, Receive and record incoming post and deal with it appropriately.
, To be able to run off reports, set up spreadsheets and aggregate data for reports.
, Receive telephone calls and relay messages.
Deal sensitively with all enquiries to the Team.
, Provide cover for the Thames Valley T4 CAMHS and HOPESPA administrators when required.
