Personal Assistant

Service Care Solutions are looking for a Personal Assistant to work within the Derbyshire Police Force on a 12-Month contract.

Location: Ripley

Job description/roles:
To provide secretarial support for the South BCU Divisional Commander and the senior management team including:



  • Management of diary and incoming emails.

  • Dealing with people both face to face and via the telephone.

  • Maintaining relevant databases, records, and files.

  • Dictation, minute taking, typing of reports and letters.

  • Dealing with post, creation of presentations and other department documents.


Specific roles/responsibility:



  • To work unsupervised, using own initiative to ensure priorities are covered during the absence of any Head of Department or Manager.

  • To be responsible for organising meetings, including the preparation, attendance, minute taking, and action follow up, as well as management of equipment required for meetings.

  • Dealing with correspondence, collation of paperwork and submissions, and preparing responses on behalf of the senior management team.

  • Arranging and co-ordinating travel and accommodation requirements.

  • Preparing, distributing and co-ordinating departmental information, including dealing with electronic media communications, e.g., managing the intranet.

  • Contacting third parties and other agencies in relation to queries/requests/meetings.

  • Using provided information to create presentations and technical diagrams.


Skills/Experience required:



  • GCSE Grade C/4 English Language or equivalent experience or previous experience of receiving and actioning written and verbal communications.

  • RSA III Word-processing or equivalent experience.

  • Proven experience of text processing and clerical work to include.

  • Typing of reports, letter, and minutes of meetings.

  • Organising, attending meetings, and taking minutes.

  • Management of diaries.

  • Ability to maintain accurate records of files.

  • Good people skills to deal courteously and tactfully with internal and external customers both face to face and via the telephone.

  • Working in a confidential area.

  • Ability to work unsupervised to achieve deadlines.

  • Ability to use Microsoft word, excel and PowerPoint or similar software to process to a professional level.
